Presenter Information

Timeline

  • Accepted presenters will be notified no later than Friday, December 19, 2025.
  • Presenters must accept/decline their conference proposal no later than 5 PM, Friday, January 9, 2026.
  • Presenters must be registered for the conference no later than Friday, January 30, 2026 (Please note: Early bird conference registration rate deadline ends Saturday, January 31, 2026).
  • Conference program abstracts cannot be edited / altered after Friday, February 20, 2026.

Presenter Requirements

All communication will be directed to the lead presenter submitting the proposal.  If there are additional presenters, it is the lead presenter’s responsibility to relay all information and expectations to the other presentation team members. 

All presenters must be paid conference attendees no later than Friday, January 30, 2026.  VIRTUAL CO-PRESENTERS ARE PROHIBITED.  We recommend taking advantage of the early-bird rate, which ends at 11:59 PM on Saturday, January 31, 2026. A one-day rate is also available.

Please note that more than one proposal may be submitted, but presenters may be slotted for up to TWO presentations ONLY.

  • Session content may be uploaded to the CEIA website following the conference.
  • Please be prepared to offer a PDF of your presentation to share with colleagues that can be uploaded. Further information will be provided for accepted proposals.

Presenters are requested to stay in the conference hotel in order to meet the contracted block requirements.  More information on the conference hotel and to make reservations are on the conference menu on the top right of this page.

Audio/Visual for Selected Facilitators/Presenters

  • Presenters are expected to read and respond to all alerts and requests pertaining to the conference, especially those concerned with audio, visual, and technical arrangements.
  • CEIA will provide a laptop, projector, screen, flip chart, and markers.
  • Prepare your presentation in an offline format without the need for internet connectivity as it will not be available in the spaces reserved for sessions at the conference venue.
    • Please note: Personal hotspots may NOT work inside the conference venue.
  • Plan to have your presentation materials saved to a USB drive in presentation format and PDF before your session in addition to saving via email or a cloud storage service.
